As a fully remote team, we are seeking a dynamic and detail-oriented Innovation and Process Development Lead to design and implement efficient workflows, systems, procedures, and processes within the framework of our Practice Management System (Smokeball). This role is essential to enhancing the productivity of our legal team and ensuring seamless operations across the practice.
Job Overview:
As the Innovation and Process Development Lead, you will be responsible for building and optimising our internal systems using Notion and integrating them with Smokeball to manage team communication, calendars, and task workflows. Your role will involve developing policies and procedures around key operational areas and creating a cohesive knowledge management system to support a high-performance team.
Key Responsibilities:
- Workflow & System Development:
- Build and optimise workflows, systems, procedures, and processes within the Smokeball Practice Management System to enhance the productivity of our legal team.
- Policy Creation:
- Develop and implement workplace policies, including leave management, workplace behaviour, emergency procedures, and other critical operational guidelines.
- Productivity & Workflow Strategies:
- Design and implement strategies for improving productivity and workflow, from handling enquiries to client conversion and nurturing, ensuring efficient operations at every stage.
- Knowledge Management:
- Develop a knowledge management system to support our legal team, including automated templates for letters, court forms, precedents, and procedural guides.
- VL Style Guide:
- Create and enforce a Victor Legal Style Guide, ensuring consistency in tone, font, salutations, and layout across all written and spoken communications.
- Client Conversion & Communication Systems:
- Establish robust systems for client conversion, including scripts, follow-up workflows, and client communication standards.
Key Qualifications:
- Demonstrated experience with practice management systems such as Smokeball, or similar platforms, and workflow management tools like Notion.
- Proven track record in developing and implementing processes, procedures, and policies in a legal or professional services setting.
- Strong organisational skills and attention to detail, with the ability to manage multiple workflows simultaneously.
- Expertise in improving team productivity and developing knowledge management systems.
- Experience in remote working environments and managing team communication and task systems.
- Legal industry experience is a strong advantage.
