Core Responsibilities

Be the Executive PA of Head of APAC



  • Travel arrangements and expenses
  • Calendar management, including meeting planning and coordination, as well as managing for prep and pre-work
  • Partner management with Markets and Channels Leadership Team (LT) and APAC LT members/assistants
  • Manage regional communications in alignment with relevant collaborators (S&T, PR etc)
  • Drive continued improvements, innovation and simplification where possible as well



Manage events



  • Full end to end organizing of events under the project owner's lead (Market Group Conference, Growth Summit and similar events)
  • Various team building activities
  • Support to top executives visiting Singapore
  • Support and sometimes drive planning of Business Unit market visits



LT governance and management



  • Prepare annual calendar for APAC LT meetings incl. monthly meeting cadence, F2Fs, developed with a clear view of priorities for the year
  • Proactively identify potential challenging timelines for key meetings/achievements and outline alternative solutions
  • Establish and maintain the supporting tools/technology for meetings (e.g., Microsoft Teams) with a proposal on the best solutions to optimize utilization and ways of working
  • Support management of agenda topics and pre-read upload for regular meeting cadence (biweekly), ensure unnecessary meetings with no agenda are cancelled
  • Track action log and any urgent follow-ups, in collaboration with Strategy Partner
  • Support on agenda development for F2F meetings in view of priorities and ensure delivery within agreed budget



SingHub/APAC Comms



  • Propose dates for townhall(s) and other key office-based events relevant to SVP APAC
  • Support APAC comms manager in planning and execution of any written comms from SVP to broader organization (e.g., newsletters/general announcements)
  • Raise issues to proactively address based on understanding of dynamics in the hub



Executive Leadership Team (ELT) and external visits



  • Manage agenda for ELT and key partner visits, ensuring clarity on preparation required for the team / SVP and balancing time commitments

The Executive Assistant will be part of a support team for the APAC Leadership. The members of the support team are based in various locations and across time zones.

  • Several years in comparable administrative roles for senior leaders, preferable in bigger organization with global presence
  • Proven high level of service approach, attention to details and reliable
  • Ability to handle and maintain high levels of confidentiality
  • Global mentality, able to think end-to-end and think ahead
  • Technical savvy (Strong MS Office skills, SAP and interest in IT enablement)
  • Self-motivated and independent working style
  • Resilient and tenacious with the attitude that nothing is impossible
  • Curious and interested in learning and trying new things
  • Understands the role of innovation to improve results in own area
  • Seeks out input from customers, consumers and others to identify new ways of doing things
  • Implement improvements based on perceived opportunities or ideas in own area
