Overview:
This position plays a crucial role in overseeing the financial health of the organization, managing administrative functions, and ensuring adherence to governance policies.
Responsibilities:
- Develop and maintain financial policies and procedures to ensure compliance with relevant regulations and best practices.
- Prepare, analyse, and present accurate financial reports, including budgets, forecasts, and variances, to the Board, Chief Executive Officer (CEO) and senior leadership to support strategic decision-making.
- Manage day-to-day financial operations, including accounts payable (including payment processing), receivable, fixed asset register, and general ledger functions.
- Maintain the donor management system and ensure that records are accurate and up to date and ensuring that donors receive their tax-deductible receipts on a timely basis.
- Collaborate with department heads to develop annual budgets and ensure alignment with the organization's strategic goals.
- Monitor budget performance, fund-raising targets, identify variances, and provide recommendations for corrective action.
- Forecast and manage cash flow to meet operational needs and strategic objectives.
- Work with the CEO and respective manager to develop, prepare and organise materials for proposals, and submit and monitor grant applications.
- To maintain grant compliance and reporting, including outcome measurement and grant budgets with the respective managers.
- Ensure compliance with regulatory requirements, accounting standards, and governance policies (e.g. Personal Data Protection Act, Charities Act etc).
- Coordinate external and internal audits and implement recommendations to improve internal controls.
- Identify and mitigate financial and operational risks, implementing risk management strategies.
- Work with the HR executive and outsourced payroll vendor to oversee the HR function.
- Oversee the IT team or outsource vendor to manage the organization's IT infrastructure, including hardware, software, networks and ensure data security and privacy are maintained.
- Oversee administrative functions, including facilities management, office operations, office supplies, equipment and petty cash count.
- Coordinate internal and external meetings.
